This policy explains what Ria, a personal assistant you talk to on WhatsApp, collects, how it is used, and the choices you have.
What we collect
- The messages, photos, documents and voice notes you send Ria, and Ria's replies.
- Your WhatsApp name and phone number, preferred language, and preferences you tell Ria.
- Your saved signature and signer name, if you ask Ria to keep them for signing documents.
- If you connect Google: the email address of each connected account and the Google data described below.
Google account data
Ria asks for these Google permissions, each used only for what it says:
- Sign-in identity — to know which Google account you connected.
- Email address — to show you which account is connected and tell your accounts apart.
- Google Calendar — to read your schedule and add or change events and reminders when you ask, or when a contact books a time with you.
- Gmail (read and organise) — to read and summarise mail you ask about, check new inbox mail in the background to alert you to urgent messages, and draft or label messages.
- Gmail (send) — to send an email you asked for; Ria shows it to you and asks you to confirm first.
- Google Drive — to find files you mention and save files you send or ask for, including documents Ria signs for you.
- Google Docs — to read, create or edit documents when you ask.
- Google Sheets — to read, create or update spreadsheets when you ask.
- Google Slides — to read, create or edit presentations when you ask.
- Google Contacts — to look up people you mention and add or change contacts when you ask.
- Google Tasks — to read, add or complete your tasks when you ask.
Ria's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google data is used only to provide the features you ask for. It is not sold, not used for advertising, and not used to develop, improve, or train AI models. People do not read your Google data unless you ask us to for support, it is needed for security, or the law requires it. Google access tokens and saved signatures are stored encrypted.
Email alerts
If you connect Gmail, Ria checks your inbox for new mail every few minutes. The sender, subject and text of new messages are sent to OpenAI to judge urgency; urgent mail is sent to you on WhatsApp and the rest goes into a daily summary. Sender and subject are kept until they have been delivered to you, for up to 3 days. Ask Ria to stop email alerts at any time.
How your data is used
To answer your requests, carry out tasks you approve, remind you of things, and keep Ria working safely. Content is sent to the service providers below, and to the websites and public services Ria visits to answer your request, only as needed to do that.
Service providers
- OpenAI — understands your messages, including content from your connected Google services, ranks incoming mail for urgency, writes Ria's replies and handles voice calls.
- MiniMax — turns replies into voice notes when you use voice.
- ChatDaddy — delivers WhatsApp messages and calls between you, Ria and your contacts.
- Notion — stores your owner profile (name, phone number, language, preferences) and Ria's settings.
- Render — hosts the Ria service and its database.
- Open-Meteo — provides weather forecasts for places you ask about.
- Google — the Google services you connect.
How long we keep it
Ria keeps your recent conversation so she can follow context; older messages drop off as new ones arrive. Stored copies of files you send or Ria creates are deleted after 14 days (cleanup runs when the service restarts, so deletion can lag by a few days). Your owner profile is kept while you use Ria.
Your choices
- Disconnect Google any time from your Google account's third-party access page, or write to us and we will delete Ria's stored access and revoke it at Google.
- Ask us to see, correct or delete your data by writing to support@usebobcode.ai.
Security
Data travels over encrypted connections, and account credentials and saved signatures are encrypted at rest. No system is perfectly secure; tell us at once if you think your account was misused.
Children
Ria is not intended for anyone under 16.
Changes
If this policy changes, we update the date above and tell you in Ria for any material change.
